How to Import Contacts to a CRM (Even If You've Never Done It Before)

Importing contacts to a CRM means uploading your existing customer data from spreadsheets, email providers or other CRM tools into your new system. Most modern CRMs accept CSV files. The process involves exporting your data, cleaning it, uploading the file, mapping fields to the right columns and deduplicating records.

What You Need Before You Start

Your Contact List (Any Format)

Spreadsheet, Gmail export, Outlook dump or another CRM's CSV. Doesn't matter where it lives right now. If you can see it on a screen you can get it into Juicy Goosey.

5 Minutes

That's the honest time estimate. Export, upload, map fields, confirm. The whole thing takes less time than making coffee. Data cleanup might add another 5-10 minutes depending on how messy things are.

Step-by-Step: Import Contacts to Juicy Goosey

1

Step 1 -- Export from Your Current Tool (2 min)

Open whatever tool holds your contacts right now. Find the export or download option. Save your list as a CSV file. Every major platform supports this. Scroll down for tool-specific instructions.

2

Step 2 -- Clean Your Data (5-10 min)

Open the CSV in a spreadsheet app. Delete blank rows. Fix obvious typos. Make sure each contact has at least a name and an email. Remove anyone you know is dead weight. Clean data in means clean data out.

3

Step 3 -- Upload Your CSV (30 sec)

Log into Juicy Goosey. Go to Contacts > Import. Drag your CSV file in or click to browse. That's it. The system reads your file instantly.

4

Step 4 -- Map Your Fields (1 min)

Juicy Goosey shows you each column from your CSV and asks which field it maps to. Name, email, phone, company -- it auto-detects the obvious ones. You just confirm and fix anything it missed.

5

Step 5 -- Review and Confirm (30 sec)

Preview your import. Spot-check a few records. Hit Confirm. Juicy Goosey runs automatic deduplication so you don't end up with the same person listed three times. Done.

How to Export Contacts From...

Google Sheets or Excel

File > Download > CSV. That's the whole process. Your original file stays untouched. The CSV is a copy.

Gmail

Go to contacts.google.com. Click Export. Choose CSV format. Download the file. All your Gmail contacts land in one clean spreadsheet.

Outlook

Open People > Manage > Export. Pick CSV. Download it. Works the same in desktop and web versions of Outlook.

Another CRM

Look in Settings > Export or Contacts > Export. Every CRM worth using lets you export your own data as CSV. If yours doesn't, that's a red flag.

A Paper List

Type your contacts into a simple spreadsheet first. Columns: name, email, phone, notes. Save as CSV. Then import like normal. Old school but it works.

Common Import Mistakes (and How to Avoid Them)

Duplicate Records

Importing the same file twice creates doubles. Juicy Goosey catches most duplicates automatically by matching email addresses. But the best fix is prevention -- only import once and let the system handle deduplication on that first pass.

Tip: Run the deduplication check before you start adding new contacts manually.

Missing Email Addresses

Contacts without an email address can still be imported but they're harder to reach and harder to deduplicate. Fill in what you can before uploading. If you don't have an email, at least include a phone number so the record is useful.

Tip: Filter your CSV for blank email fields before importing. Fix what you can and tag the rest.

Wrong Date Formats

Some spreadsheets save dates as "04/13/2026" while others use "2026-04-13." If your date fields look scrambled after import, the format didn't match. Standardize dates to YYYY-MM-DD in your CSV before uploading and you'll avoid this entirely.

Tip: Use YYYY-MM-DD format. It works everywhere and never gets confused with MM/DD vs DD/MM.
