Managing your sales pipeline means reviewing, cleaning and acting on your active deals at regular intervals. A daily 5-minute check keeps urgent deals moving. A weekly 15-minute review catches stalling deals. A monthly 30-minute audit removes dead weight. Teams with a pipeline management cadence close 25% more deals than those who check randomly.
Most reps check their pipeline when they feel like it. That is not a system -- that is hoping. The 5/15/30 system gives you a fixed routine so nothing slips through the cracks.
| Frequency | Time | Actions | CRM View |
|---|---|---|---|
| Daily (5 min) | Morning | Check hot deals, respond to overnight opens/replies, complete overdue tasks | Filtered: hot + overdue |
| Weekly (15 min) | Monday | Review each stage, identify stalled deals, set week's priorities | Full pipeline + aging |
| Monthly (30 min) | First Monday | Remove dead deals, update stale probabilities, review win/loss patterns | Pipeline + reports |
| Quarterly (1 hr) | Start of quarter | Adjust stages, review conversion rates, recalibrate scoring rules | Reports + settings |
Open your Kanban board, filter by hot deals and overdue tasks. Five minutes. Every morning. No exceptions.
Filter your pipeline to deals marked "hot" or closing this week. Read the last activity. If the next step is unclear then add one right now. Hot deals without a next step go cold fast.
Overdue tasks stack up like dirty dishes. Every one you skip erodes trust with your prospect. Sort by oldest first and knock them out before you do anything else. Two minutes max.
Someone opened your proposal at 11 PM? Someone clicked your pricing link three times? Those signals are fresh leads screaming for attention. Respond within the hour -- not next week.
Monday morning. Before you check email. Open your full deal pipeline with aging data visible. Walk through every stage.
Start at the bottom of the funnel and work up. Deals closest to closing deserve attention first. For each stage ask: is this deal still alive? What is the next action? Is it in the right stage? If you can not answer all three then the deal needs work.
Any deal sitting in the same stage for 2x your average stage duration is stalled. Any deal with zero activity in the last 14 days is stalled. Flag them now. You will deal with them in your monthly audit -- but at least you see them.
First Monday of the month. Pull up your pipeline reports and custom dashboards. Time to clean house.
If a deal has been stale for over 30 days and you have tried re-engaging twice then it is dead. Mark it lost, tag the reason (price, timing, competitor or ghosted) and move on. Dead deals in your pipeline lie to you about your revenue.
That deal you marked 80% likely three months ago? It is not 80% anymore. Review every deal's win probability against reality. Drop the ones that have gone quiet. Bump the ones that are heating up. Your forecast depends on honest numbers.
Look at deals you closed and deals you lost this month. What stage did lost deals stall at? What did winning deals have in common? This ten-minute review gives you more insight than any sales book. Patterns repeat -- learn from them.
Tape these to your monitor. Break any one of them and your pipeline becomes a fantasy novel instead of a revenue tool.
Flag stale deals automatically
A deal in the same stage for 2x the average velocity is stale. Set your CRM to flag it or archive it. Do not rely on your memory.
Trigger follow-ups at 14 days of silence
No activity in 14+ days means the deal is going dark. Automate a follow-up sequence or manually reach out. Waiting longer only makes it worse.
Tag every lost deal with a reason
Price, timing, competitor or ghosted. Every lost deal needs a tag. Without it you can not spot patterns and you keep losing deals for the same reasons.
Keep pipeline coverage at 3x your target
If your monthly goal is $50,000 you need $150,000 in active pipeline. Below 3x means you need more leads. Above 5x means you are hoarding dead weight.

Daily (5 min) to check hot deals and overdue tasks. Weekly (15 min) to review each stage and flag stalled deals. Monthly (30 min) to remove dead deals and review win/loss patterns. Teams with this cadence close 25% more.
A deal sitting in the same stage for 2x the average time is stale. A deal with no activity in 14+ days is stale. Stale deals clog your pipeline and distort your revenue forecast. Flag them, act on them or archive them.
3x your revenue target. If your monthly goal is $50,000 you need $150,000 in active pipeline to account for deals that won't close. Below 3x means you need more leads. Above 5x means you have too many stale deals.
Juicy Goosey CRM gives you the filtered views, aging data and automation triggers to run the 5/15/30 system without spreadsheets or sticky notes. All the juice with none of the squeeze.
