How to Migrate from a Spreadsheet to a CRM (Without Losing Anything)
Migrating from a spreadsheet to a CRM means exporting your client data as a CSV, mapping your columns to CRM fields, importing your records, then building your pipeline and automations on top of that data. The whole process takes one afternoon. Your spreadsheet stays intact as a backup. Nothing is lost.
Why This Feels Scarier Than It Is
Your Spreadsheet Isn't Going Anywhere
Migration is a copy, not a move. You export a CSV and import it into the CRM. Your original spreadsheet stays exactly where it is, untouched. If something goes wrong (it won't), you still have everything.
Most CRMs Accept CSV Imports
CSV is the universal language of data. Every spreadsheet tool exports it. Every CRM imports it. You don't need special software, an API or a developer. Just a download button and an upload button.
The Hardest Part Is Deciding to Do It
The actual migration takes less time than the weeks you spend thinking about it. Most people who switch say "I should have done this months ago." The technical part is easy. The decision is the hard part. You've already made it if you're reading this.
Clean Up Your Spreadsheet First
Spend 20 minutes cleaning before you import. Clean data going in means clean data coming out. Garbage in, garbage out.
Export as CSV
Google Sheets
File > Download > Comma Separated Values (.csv)
Excel
File > Save As > Choose "CSV" from the format dropdown
Keep the original file as backup. Don't delete anything. The CSV is a copy. Your spreadsheet stays right where it is.
Map Your Columns to CRM Fields
The CRM will ask which column is what. Most auto-detect common fields. You just confirm.
Standard fields (name, email, phone) auto-map. Custom columns become tags or custom fields. Takes about 2 minutes.
Import and Verify
Upload the CSV. The import usually takes under a minute for most small businesses. Then verify:
Build Your Pipeline on Top
Your contacts are in. Now make the CRM work for you.
Create Pipeline Stages
Build your workflow: prospect, proposal, active, completed. (Pipeline guide)
Tag Contacts by Status
Prospects, active clients, past clients. Tag them so you can filter and segment from day one.
Set Up Your First Automation
A follow-up reminder on every open proposal. Start there. Add more later. (Automation guide)
What NOT to Do During Migration
Don't Try to Import Everything at Once
Start with active contacts and current prospects. Import past clients next. Import your vendor list after that. Doing it in batches lets you verify each group and keeps things manageable.
Don't Customize the CRM Before Importing
Get your data in first, then design around it. People who spend 3 hours setting up custom fields before importing often realize their data doesn't match what they built. Data first. Design second.
Don't Delete Your Spreadsheet
Keep it for 90 days minimum. It's your backup. If you notice something missing from the CRM three weeks later, you can check the spreadsheet to find it. Delete it only when you're 100% confident everything transferred.
